Slides, layouts and consistent design

PowerPoint organizes a presentation into slides. A layout provides placeholders for titles and content. A theme coordinates colours, fonts and effects. Slide Master controls repeated design and placeholder behavior across associated layouts, making it more efficient than manually changing every slide. A template can include a theme, layouts and starter content.

A transition controls how one slide changes to the next, while an animation affects an object on a slide, such as text entering or a shape moving. This is a small distinction, but it is frequently tested. Effects should support communication rather than distract. Images, charts, tables, audio and video are slide objects. Alternative text helps describe meaningful visuals for accessibility.

Views, notes and presenting

Normal view is used for most editing. Slide Sorter shows thumbnails for rearranging slides. Slide Show view presents full-screen. Presenter View can show the presenter notes, current slide and upcoming slide on one display while the audience sees only the presentation on another. Speaker notes support delivery but should not be used to hide information the audience must read.

On desktop PowerPoint for Windows, F5 starts the slide show from the beginning and Shift+F5 starts from the current slide. Esc ends a slide show. Rehearse Timings records time spent on slides for planned playback. Handouts print multiple slide thumbnails per page; Notes Pages include a slide and its notes.

Office integration and application choice

Choose the application that fits the task: Word for narrative documents, Excel for calculations and structured data, and PowerPoint for visual presentations. An Excel chart can be pasted into Word or PowerPoint. Embedding stores a copy in the destination; linking can update from the source but depends on access to that source and a valid link. Paste Special offers format or link choices.

Hyperlinks open a target such as a webpage, file or slide. Action buttons can trigger navigation during a slide show. Common formats include .pptx for an editable presentation, .ppsx for a PowerPoint Show, and .pdf for a fixed-layout copy. Integration does not remove the need to verify data: a polished chart can still be based on incorrect figures. Final revision should connect concepts: use backups for resilience, Heading styles for Word structure, absolute references for fixed Excel inputs, and Slide Master for presentation-wide consistency.
