The official syllabus includes MS Office or MS Word within the computer component for several posts, but it does not state detailed Word topics. The coverage below is independent, version-neutral preparation based on widely available desktop Word features.

Editing and formatting

Word is a word-processing application for creating, editing and printing documents. Character formatting changes selected text, such as font, size, bold or italic, while paragraph formatting controls alignment, indentation, spacing, bullets and numbering. Ctrl+C copies, Ctrl+X cuts, Ctrl+V pastes, Ctrl+Z undoes and Ctrl+Y redoes or repeats an action. Find locates text; Replace can substitute it throughout a document, but replacements should be reviewed when a word appears in different contexts.

Styles are named sets of formatting. Applying Heading styles creates consistent structure and allows Word to build an automatic table of contents. Directly making text large and bold may look like a heading, but it does not provide the same structural information. Themes coordinate fonts, colours and effects across a document.

Page and document structure

Margins define the space between content and page edges. Orientation changes between portrait and landscape. A page break starts content on the next page; a section break can divide a document so sections use different headers, footers, columns or page setup. Headers and footers repeat information near page boundaries, while page-number fields update automatically. Tables arrange content in rows and columns; newspaper-style columns flow text vertically from one column to the next.

Review, references and distribution

Spelling and grammar tools flag possible issues but do not replace human review. Comments attach discussion without changing the main text. Track Changes records edits for review; turning off tracking stops recording new edits but does not remove existing tracked changes. Existing changes must be accepted or rejected. Footnotes usually appear at the bottom of a page. Citations identify sources, and an automatic table of contents is generated from headings.

Mail Merge combines a main document with a data source to produce personalized letters, labels or emails. The main document contains fixed text and merge fields; each record supplies values such as a name or address. Before printing, use Print Preview to check pagination, margins and unwanted blank pages. The modern default format is .docx; .pdf is useful when preserving a fixed appearance for sharing, while .dotx is a Word template format. Document protection can restrict editing, but sensitive files still require appropriate access controls.
